1. You may be paying more for your equipment than you should because you are under or over utilizing certain equipment.

Many offices are inefficient because of poor placement of their copiers and printers. There are often underutilized devices whose monthly volumes are not in line with your employees actual use simply because people get in the habit of using copiers or printers that are close to their work space. That cute and close printer on their desk may cost double per page what the bigger not so accessible copier in the hall does. People will use what is easy.

2. You have multiple suppliers or vendors handling your equipment.

Do you have several different companies servicing your equipment? Does one company handle copiers and one printers and another supplies? Not only is this extra work for the administrative staff and IT dept, it makes it hard to determine the actual cost of printing and copying.  Having one company doing it all seems efficient doesn’t it? Does IT ever wonder if the administrative staff has ordered toner or placed a service call? Just when you think you have all the toner & supplies in stock you realize you don't have toner for the one machine that needs it.  

3. You aren’t sure your data is safe.

When looking at copying expenses most companies look at their large copier costs. They review the copier, lease, supplies and service.  This may even be included in a contract. Many businesses have many smaller and more expensive desktop printers that cost more to run and often require service from an outside source.  Regular service calls add additional expenses.  These devices are often not on a network making it harder to know the actual cost of printing because printers are not included in “copying” costs.
